Terms and Conditions

Please read these Terms carefully. They set out what you can expect from Fleetras and what we expect from everyone who uses the Platform.

1. The agreement
These Terms and Conditions (the "Terms") govern access to and use of the Fleetras web application, the installable mobile app served from it, related APIs and any vehicle tracking features (together, the "Platform"). By signing in or using the Platform you agree to these Terms.
If you use the Platform on behalf of a company, you confirm that you are authorised to do so and that the company also agrees to these Terms. Where a separate written agreement exists between Fleetras and your company, that agreement takes precedence over anything inconsistent here.
2. Accounts and access
- Accounts are created by an administrator. There is no public self-registration.
- You must keep your password confidential, choose a password that meets the Platform's rules and not share your account with anyone else.
- You are responsible for activity carried out under your account. Tell your administrator immediately if you suspect unauthorised use.
- Your role determines what you can see and do. Attempting to access data or functions beyond your role is a breach of these Terms.
- Sessions expire automatically after eight hours. Administrators may deactivate an account at any time.
3. Acceptable use
You agree to use the Platform only for lawful fleet, transport and cost management purposes and, in particular, not to:
- enter false, misleading or fraudulent trip, kilometre or expense information;
- upload receipts, photos or documents that you have no right to share or that contain unlawful content;
- interfere with the Platform's operation, probe its security or attempt to bypass access controls;
- copy, scrape or extract data in bulk except through the export functions your role provides;
- use the Platform while driving in a way that breaks road traffic law. Drivers must stop safely before interacting with the app beyond a single tap to start or end a trip.
4. Drivers, trips and expenses
- Drivers must accept or decline assignments promptly and record trips accurately, including start and end odometer readings where requested.
- Expenses must be genuine, incurred for the trip in question and supported by a receipt where one is available. Manually entered kilometres may require approval.
- Submitted trips are reviewed by a manager. A manager may approve, request a correction or reject a submission. Approved figures are final unless corrected through the approval process.
- Cost figures shown in the Platform are calculated from the data entered and the company's settings. They are for management purposes and do not by themselves create an entitlement to payment or reimbursement.
5. Vehicle tracking
Company vehicles carry GPS units that report location, speed, heading, ignition state, mileage and alerts. By driving a tracked vehicle you acknowledge that this data is collected and may be used to verify trips, improve safety and control costs.
Drivers must not disconnect, obstruct or tamper with tracking hardware. Tracking data is treated as part of the trip record and is handled as described in the Privacy Policy.
Tracking depends on third-party devices, mobile networks and satellite coverage. Fleetras does not guarantee that positions are continuous, complete or accurate at every moment.
6. Your data and our content
Data your company and its users enter into the Platform belongs to your company. You grant Fleetras the rights needed to host, process, back up and display that data in order to provide the service, and to produce aggregated statistics that do not identify any person or company.
The Platform, its design, code, formulas, documentation and branding are the property of Fleetras or its licensors and are protected by intellectual property law. These Terms do not transfer any ownership to you.
7. Availability and changes
We aim to keep the Platform available at all times but do not promise uninterrupted service. Maintenance, upgrades, network failures or events outside our control may cause downtime. Where practical we will give advance notice of planned maintenance.
We may add, change or remove features and may update these Terms. The date at the top shows the current version. Continued use after a change means you accept the revised Terms.
8. Third-party services
The Platform may rely on third-party services such as email delivery, mapping and telematics providers. Those services are governed by their own terms. Fleetras is not responsible for the acts or omissions of third parties beyond what applicable law requires.
9. Liability
The Platform is provided "as is" and "as available". To the fullest extent permitted by law, Fleetras excludes all implied warranties, including fitness for a particular purpose and accuracy of calculations that depend on data entered by users.
To the fullest extent permitted by law, Fleetras is not liable for indirect or consequential loss, loss of profit, loss of data or business interruption arising from use of or inability to use the Platform. Where liability cannot be excluded, it is limited to the fees paid by your company for the Platform in the twelve months before the event giving rise to the claim, or AED 1,000 if no fees were paid.
Nothing in these Terms excludes liability for fraud, death or personal injury caused by negligence, or any other liability that cannot be excluded by law.
10. Suspension and termination
We or your company's administrator may suspend or terminate your access at any time for breach of these Terms, for security reasons or when your role ends. Termination does not affect records already created, which remain subject to the retention rules in the Privacy Policy.
11. Governing law
These Terms are governed by the federal laws of the United Arab Emirates as applied in the Emirate of Dubai. Any dispute that cannot be resolved amicably will be subject to the exclusive jurisdiction of the courts of Dubai.
